Appointment History Tracking Enhancements

Appointment Level

You can now view a complete history of changes made to individual appointments at the appointment level.

From the Schedule, click the clock icon on an appointment to open Appointment History Tracking. From there, review all recorded changes, along with the user who made each change and the corresponding timestamp.

This enhancement provides greater visibility and accountability into appointment-level updates directly from the schedule.


Billing Manager Changes

When changes are made in the Billing Manager, they will now be reflected in Appointment History Tracking for:
  • Rendering Provider
  • Service Facility
  • Modifier 1
  • Modifier 2
  • Modifier 3
  • Place of Service (POS)

Supervision:  Tracking Non-Service Hours

An ABA Hours checkbox has been added to all non-service appointments. When selected, this appointment will be included as behavior-analytic time for tracking RBTs, BCATs, graduate students, or state certification requirements.

Examples of behavior-analytic (non-service) hours include:

  • Group trainings focused on behavior-analytic principles conducted outside of client sessions
  • Graduate students designing or reviewing interventions during non-billable time

Non-examples include:

  • Cleaning the clinic
  • General administrative tasks such as stimulus preparation

Please refer to BACB guidelines or your applicable governing body to determine what qualifies as behavior-analytic time.


  Reports

"0" Hour Supervision

For the following reports:

  • RBT Supervision Log
  • My RBT Supervision
  • BCAT Supervision Log
  • My BCAT Supervision Log

A new parameter has been added that allows you to generate a supervision certificate even if no supervision was logged for the selected month.

This enhancement supports more complete recordkeeping and helps ensure documentation is available for auditing purposes in accordance with BACB requirements.


New Report:  My Supervision Log

We’ve added a new My Supervision Log, which mirrors the structure and usability of the Staff Supervision Log, but is scoped specifically to the logged-in user.

This report can be generated for any qualification and is designed to support individual supervision tracking needs, including:

  • State licensure documentation
  • BCBA graduate school supervision requirements
  • Non-RBT supervision tracking and reporting

By focusing on the logged-in user, My Supervision Log makes it easier for staff to independently access, review, and maintain their supervision records while preserving consistent formatting and reporting standards.

New Report:  Payroll Rippling

We’ve added a new Payroll report designed to map directly to Rippling. This allows you to generate a report that can be uploaded to Rippling without manually entering hours for each employee.

This update helps streamline payroll processing, reduce data entry, and minimize the risk of manual errors

Payroll mapping is recommended for organizations with more than 30 employees. For smaller teams, manual payroll processes may be more appropriate.

Billing

Billing Rules:  Box 17

You will now be able to customize the qualifier in Box 17 (Referring Provider) to the requirements of your payer.

Check with your payer or fee schedule to determine how to fill out Box 17 on claims.

To add new referring providers and NPIs, go to Billing > Provider Identifier > Referring Provider

MUE Updates


InfoMedically Unlikely Edits (MUEs) are established by some payers as a daily limit to services.

We’ve added an additional customization under Payer > Billing Rules > MUEs that allows you to set a daily limit across all service codes combined.

For example, if a payer allows a maximum of 8 total hours of services per day, you can now configure a Daily MUE to enforce that limit across all codes, rather than managing limits code by code.

This enhancement provides greater flexibility and helps ensure claims align with payer-specific billing rules.

Payment Posting:  Secondary Payments

We’ve introduced a new auto posting workflow that includes support for secondary payments. This enhancement helps reduce manual posting work and improves overall posting efficiency by automatically including eligible secondary payments.

While this update will improve posting accuracy and speed, it does not guarantee that all secondary payments will post automatically. Some payments may still require manual review, as not all payer reason codes are currently recognized by the system.

Overall, this workflow reduces manual effort and helps streamline payment posting where possible.


 Welina

Caregiver Details from Aloha

Caregivers who register for the Aloha Client Portal will now have their information automatically shared with Welina, making it easier for them to access behavior data when appropriate.

This update helps ensure caregivers are set up correctly without additional manual steps and supports more consistent access across both systems.

This enhancement improves visibility, reduces setup effort, and helps maintain accurate caregiver access for behavior data tracking.
