 Schedule

Timesheet and Payroll Processed Appointments are now editable!


You can now edit certain fields on an appointment even after it’s been submitted in a timesheet or processed through payroll. This means you’ll be able to update the Client, Authorization, or Service without needing to revert timesheets or payroll.

This update makes it much easier to fix billing mistakes—like if an appointment was billed to the wrong payer—so you can quickly release and adjust it for correct billing.

Once an appointment has been timesheet and/or payroll processed, the earning code cannot be updated.

New Appointment Validations


We’ve expanded Appointment Validations to give organizations more flexibility and control when scheduling. You can now choose from four validation levels—None, Flag, Warn, or Stop—to decide how strictly rules are enforced.

These enhancements make it easier to prevent issues like scheduling staff during unavailable times or with clients they’re not assigned to.


 Client Profiles

Client Authorization Usage now visible in Client Profile


The client authorization utilization will now be visible in the client profile. By clicking on , users will be able to see the scheduled, completed, billed and cancelled appointments for each service in the authorization.

By clicking on reports, users can view the total appointments scheduled within the service and authorization as well as the a breakdown of the authorization by month.

This feature is visible to users with “view only” or “full access” under Settings > Security > User Roles > Client > Client Authorizations

  Reports

Billing Ledger Report:  Patient Responsibility Formulas

Copay, coinsurance, and deductible values now display accurately for primary and secondary claims, making audits and billing easier.  Once a claim is transferred to secondary, the patient responsibility will no longer display in this report or in the payment center.


New Report:  Staff Supervision Log

We’ve added a new Staff Supervision Log, designed to provide the same structure and usability as the RBT Supervision Log—without being tied to RBT credentials or RBT-specific requirements.

This report can be generated for any qualification and is intended to support a variety of supervision needs, including:
  1. State licensure documentation

  1. BCBA graduate school supervision

  1. Non-RBT supervision tracking and reporting

The Staff Supervision Log offers greater flexibility while maintaining consistent formatting, making it easier to meet diverse supervision and compliance requirements.

New Report:  Staff Appointment List Financial


Our newest report adds three additional columns to the staff appointment list:

  1. Staff Hourly Rate for appointment based on their earning code

  1. Total amount calculated for the appointment

  1. Contract rate for the appointment to determine expected reimbursement amount.


This data will better help determine the profit or loss of individual sessions by your organization. By default, this report will only be visible to those with admin permissions.

 Billing

Secondary:  Billing Rules with Automatically Apply

From now on, the billing rules set in the Payer Profile will automatically apply to secondary claims as well.

For example, if the primary payer doesn’t require taxonomy codes but the secondary payer does, those taxonomy codes will automatically be added when the claim is transferred to the secondary payer.

You’ll also see helpful validation warnings if any billing rules aren’t followed, so you can easily catch and fix issues before submitting.



AR Manager:  Claim Fix on Closed Claims

You can now edit claims that are closed or have already been paid.


This makes it easier to correct any billing mistakes and submit an updated claim, even after payment has been received.

No more worrying about errors on finalized claims—corrections can be made quickly and efficiently without undoing payments.

Payment Posting:  Secondary Payment Tracking

A new Secondary Payment checkbox is now available when posting payments to indicate whether a payment should be applied to the primary or secondary payer.


Secondary payments are correctly reflected in the Billing Ledger Report as well.

Manual postings allow you to select the appropriate payer, and auto-posted ERAs are automatically tagged based on the payer, with all selections logged for audit purposes.


Billing Manager:  0 Unit Appointments

We’ve enhanced how non-billable appointments are identified to improve accuracy in the Billing Manager.


Appointments with zero units will now be treated as non-billable even if billing minutes are greater than zero (for example, due to AMA rounding or concurrent billing).

These appointments will no longer appear as errors in the Billing Manager and will instead be visible only under Non-Billable Appointments, after claim and appointment merging is considered.
