Release Summary Feb 2023

  1. We are excited to announce the following new features/enhancements added to Aloha ABA, which is scheduled to take place on Sunday, February 26th 2023 between 8-10PM PST.  

  2. New Reports:  

  1. Payer Aging Details – A report that breaks down what is still showing with a payer balance on a charge line by charge line basis. 

  1. Payment Ledger Details – A report that has a breakdown of payments and what charge lines they were applied to. 

  1. Client Staff Assignment – A report to see which staff is on which client’s caseload. 

  1. Improvements: 

  1. Clinical teams in Staff > Manage Clinical Team section can now be comprised of a combination of staff only, clients only, and/or a combination of both staff and clients.  

  1. Under the “Billing” tab on the Schedule, billing minutes will be displayed in orange text if it does not match with the appointment duration time. When it is matched and correct, then the text will be black.  

  1. On Schedule > Print, the display window of the print preview has been fixed to display all sessions that a user is viewing.  

  1. In Security > User Accounts, the popup on the right hand side of the screen remains fixed so users don’t have to scroll up and down repeatedly as they go down their staff list.  

  1. An error message will be displayed before releasing a claim in AR manager. It will read “Releasing a claim will remove all transactions associated with this claim. Are you sure you want to release the claim?” and Proceed must be pressed in order to move forward. 

  1. Attachment file size has been increased to 25MB in all Cabinets (payer, staff, clients) and Staff Qualifications sections.  

  1. User Roles have been added for the “Billing Rules” section in Settings > Security. Users can now turn on/off permissions to their staff for the billing rules under each payer.  

  1. In Forms, when a Default Value field of “Staff Signature” is being used in the template, the signature can only be signed by the staff assigned to that appointment and no other user.  

  1. Appointment completion timestamps are now displayed in Reports.  

  1. In appointment > Verification, and Forms > Signatures-- signature fields have rules:  

    1. For staff: staff signature can only be signed by the same staff attached to the appointment.  

    2. For client: parent name can be selected for who signed the session. There is also a field to type in name of who signed for the session here.  

  1. Timesheets can now be submitted 30 days in advance. 

  1. Client Age is now displayed in parentheses in the Client Profile section under “Personal Info” next to DOB.  

  1. Dashboard widgets now display “$” symbol next to any dollar values. 

  1. If an appointment has a signature attached to it in the verification tab, the appointment date can be edited up until the current date. Appointments that have signatures attached to them cannot be changed to a future date, and we now display an error message to warn users that says, " Future date is not allowed with verification signatures.”  

  1. Phone number fields will not allow users to save if a minimum of 10 digits are not entered.   

  1. DDS Parental Verification Form display changes:  

  1. Staff name is displayed on top row.

  1. Staff credential is displayed on bottom row.

  1. In AR Manager, when releasing a claim whose charge and balance are not the same, we’ve added a warning message that states "Claim Balance is Modified” 

  1. We have added a new Verification format to the Verification Forms titled “Service Log”  

    1. Includes option to add client signature, grand total, scheduled appointments, and vendor signature to this verification form 

  1. School district invoice has been updated – We have adjusted the spacing and formatting of the displayed data in this invoice.  

  1. The system can now auto post ERAs with Zero Payments if they contain deductibles. 

  1. Addition of “Arizona Time – No Daylight Savings” as a timezone option. 

  1. Motivity Updates: 

  1. Repeat Appointments made on the schedule are being sent to Motivity.

  1. There is an on/off toggle button in Clinical Integration Settings to "Auto update appointment info time as per the session note" which will update the times in both appointment info and verification tabs. 

  1. Appointment resync icon in Appointment Info Tab resyncs the appointments (push appointments to motivity) if there is not a synced note yet.  

  1. Icons have been added to the calendar to indicate the status of a session note in that appointment.  

  1. Bug Fixes:  

  1. Multiselect dropdowns in various sections of Aloha now display the rest of the options, rather than the previous message of “+0 more”  

  1. Once a staff or client is selected as part of a Clinical Team under Staff > Manage Clinical team, that person’s name no longer appears in the dropdown to be selected again for the same team.  

  1. Grouped appointments where one client is marked as “No Show” will display an error message of “Billing minutes of (client name) is updated to 0.”  

  1. Payer names will pop up in the warning message for concurrent billing rules before clicking “proceed” to apply the rules to the appointment.  

  1. Regional Center as a payer type displays a field to type in a Vendor ID per service.  

  1. We have updated the display of formatted text in the Billing Manager > Bulk Update > Rendering Provider field. 

  1. In AR manager, we have fixed the display for the “Transfer” and “More” Buttons in the top right corner when selecting multiple claims.  

  1. On the schedule, the “Show Auth Summary” widgets are now titled “Not Completed” and “Not Scheduled”  

  1. Session notes are successfully saving when concurrent rules are applied to split appointments. 

  1. EIN numbers between 0 and 20 characters can be saved.  

  1. Posting payments in Payment Center – we have fixed an error message that says “Unapplied Amount can’t be negative” when posting the last charge line. 

  1. Appointments created on the day of Daylight Savings display accurate times and no longer get shifted by an hour.  

  1. Monthly attendance Report- calculations updated.  

  1. RBT Supervision Report – calculation update for RBT Behavior Analytic Hours.

FYIs: 

  • AlohaABA works best in the Google Chrome web browser. 

  • Your Aloha ABA subscription can now be paid via ACH payments. 

  • To reset your Aloha ABA web application, please clear your cache by going to Chrome Settings (theat the upper right corner) > more tools > Clear Browsing Cache.  Change the Time Range to "All Times" and click "Clear Data".
