Weekly Meetings: What to Expect

Welcome to AlohaABA! To get started, your Customer Success Manager will reach out to schedule a weekly call with you. The milestones below will be checked off as you meet with our team each week. Afterwards, we are always available to help out with any other questions or concerns you might have by reaching out to support@alohaaba.com and copying your CSM onto your email.  

 

Milestone 1 - Kickoff meeting & Data Entry meeting  
 

See our help center article on Preparing for your Kick-off Call for a list of information that you will need to have ready for your first meeting with your Customer Success Manager.


To Do:
  1. Learn all the components of the Settings tab and customize for your organization's needs
  2. Learn how to add in a Payer/Staff/Client (your homework will be to add in the rest)

 

Milestone 2 - Scheduling and User Permissions 

To do:
  1. Review data entry that was completed as homework  
    1. Verify payer IDs and payer settings, staff and client profiles 
  2. Learn how to navigate the “Schedule”
    1. How to create service, non-service, drive time, break and unavailability appointments
    2. How to repeat, complete, and cancel appointments
    3. How to see Authorization Summary
  3. Create User Roles/Permission
  4. Clinical integrations can be added at this point (or later)
    1. i.e., Motivity or Hi Rasmus
    2. If you are not using a clinical integration, we can discuss Aloha Forms/Session Notes
  5. Clearinghouse Integration
    1. i.e., Office Allly or Availity
    2. Discuss EDI/ERA Forms
Homework:
  1. Enter remaining schedules
    1. Appointments should be completed to prepare for test billing and payroll training
  2. Complete any necessary EDI/ERA forms for your clearinghouse
  3. Invite your staff to begin using Aloha with the assigned User Role created for them

 

Milestone 3 - Claim submission & Reports

To do:
  1. How to process billing 
  2. How to run reports
Homework:
  1. Check in the clearinghouse/payer portals that test billed appointments were accepted within 24-72 hours of billing that was processed during meeting. 

 

Milestone 4 - Payments, Payroll and AR Tracking  

To do: 
  1. How to use AR Manager 
  2. How to manually and automatically post payments 
  3. How to run the Billing Ledger Report 
  4. How to run Payroll  
Homework:
  1. Check in Payment Center for payments to come back (if using clearinghouse) and begin to auto post 
  2. Manually post and apply payment
