Setting up Supervision
You'll need to check a few things before you can start tracking supervision hours in AlohaABA.
BCBA's (or anyone recording supervision) should have permission (Settings > Security > User Roles) to access the supervision tab on the appointments. An administrator will need to give full access for the supervision tab from Schedule > My Schedule > Supervision.
- There are a few reports that need to be enabled on user roles
- Give full access for RBTs to "My RBT Supervision Log"
- Give full access for BCATs to "My BCAT Supervision Log".
- Give full access for other supervisees (graduate students, CBT) to "My Staff Supervision Log"
- Give full access for BCBAs providing supervision to "RBT Supervision Log", "BCAT Supervision Log", "Staff Supervision Log"
- Give full access for admins to "Supervision Tracking Summary" and "Supervised Appointments"
- If you are using the RBT or BCAT supervision logs, please make sure that the staff member has a current (unexpired) RBT or BCAT credential uploaded under Staff Qualification in their profile.
Scheduling Supervision hours
All Supervision hours should be recorded by the SUPERVISOR, not the supervisee.
Important: To ensure accurate supervision records, supervision should be recorded during or after the overlap session rather than scheduled in advance. Overlap session times can change frequently, and any changes made after supervision has been scheduled will not automatically update the recorded supervision time. This may result in inaccurate supervision records and reporting.
- Navigate to your schedule
- Schedule an overlapping supervision appointment (appointment must be at the same time as the supervisee).

- Click on the supervision tab under the supervisor's appointment. The "Add Staff" field will be clickable if you have any qualified supervisee available to add.
- Search and add the supervisee. Only supervisees with overlapping appointments will show up. If the supervisor and supervisee do not have access to the same offices, you may not see them!
- Next indicate the # of hours supervised, meeting type, and other details related to the appointment.

- Don't forget to SAVE!
Reports
Supervised Appointments
Displays all appointments in which supervision was logged. Appointments will appear in this list for staff who are being supervised. This report can be used by Admin to audit which appointments were supervised.
Supervision Tracking Summary
Displays Supervision tracking summary information per the BACB. This displays this information for multiple staff, if rules are met when scheduling a supervision appointment. This report is generated to be exported to excel and view multiple staff at the same time.
The following reports are generated as individual PDFs to track and provide evidence of supervision in case of an audit.
Staff Supervision Log
The Staff Supervision Log is designed to provide the same structure and usability as the RBT Supervision Log—without being tied to RBT credentials or RBT-specific requirements.
This report can be generated for any qualification and is intended to support a variety of supervision needs, including:
- State licensure documentation
- BCBA graduate school supervision
- Non-RBT supervision tracking and reporting
Aloha does not provide the official tracker required for BCBA supervision. Graduate students are responsible for maintaining and submitting their own supervision hour trackers in accordance with their program and BACB requirements. However, the data available in the Staff Supervision Log can be reviewed and used to support accurate reporting, and may be transferred into individual supervision trackers to assist with graduate school documentation.

Alternatively, any report labeled "My" generates the information for the logged in user. For example, "My RBT Supervision Log" can be be generated by the RBT to view if they are meeting the supervision requirements. It is recommended to give staff access to all reports labeled "My..." in Settings > Security > User Roles.
