What is a Reporting Manager?


When creating and viewing a Staff profile in Welina, there will be a field to enter a staff’s “Reporting Manager.” This “Reporting Manager” refers to the person or people who directly oversee this staff member.

For example, if an RBT has 3 clients with 3 different BCBAs, these 3 BCBAs would be considered the RBT’s Reporting Managers.

The Reporting Manager applies at all levels within an organization. For example, if a Clinical Director directly oversees BCBAs, this director would be considered the Reporting Manager of the BCBAs.

By assigning Reporting Managers at all levels, users are able to create a “tiered” management structure within Welina.

This structure can then be viewed through a Staff’s Welina Dashboard:

When assigning a Reporting Manager, remember to only assign the Staff who directly oversee that staff. Indirect managers (e.g. Clinical Director to an RBT) will be automatically linked through the tiered structure. 

What is the purpose of assigning Reporting Managers in Welina?

Viewing Access 

The Reporting Manager structure allows for management-level staff (e.g. BCBAs, Clinical Directors) to have access to view data (e.g. schedule sessions, lesson notes, programs, graphs) for all staff and clients whom they oversee either directly (e.g. BCBA > RBT) or indirectly (Clinical Director > RBT).

For example, a BCBA would have access to the schedules, lesson notes, programs, and graphs for the RBTs and clients whom they oversee.

A Clinical Director would have access to the schedules and lesson notes of the BCBAs whom they oversee, as well as the schedules, lesson notes, programs, and graphs that the RBTs and Clients those BCBAs oversee. 

Lesson Note Approvals 


The Reporting Manager feature can also function as part of the Lesson Note Approval process. When creating a Lesson Note template, users have the option to create an Approval Process (Approving Lesson Notes)

An option for this process is to select for a Staff’s assigned Reporting Manager as the person responsible for reviewing, auditing, and approving Lesson Notes. 

FAQs

A BCBA, the Reporting Manager for several RBTs, is out of the office and unable to approve their staff’s lesson notes. How can these notes be approved?

Although the direct supervisor/Reporting Manager is generally responsible for approving Lesson Notes for the staff they oversee, Welina allows for indirect supervisors to take on this task as well. If the BCBA has an assigned Reporting Manager(s) (e.g, a clinical director who oversees them), these users will have the ability to review and Approve any Lesson Notes the BCBA would typically be reviewing.

Can a staff member have more than one Reporting Manager?

Yes! And this is very common. Each Reporting Manager will be responsible for approving Lesson Notes for the clients that they oversee for this staff member.

I noticed some names are missing from the list when I am assigning a Reporting Manager?

Welina is built to prevent a “circular” supervision structure. If a Clinical Director oversees other staff both directly or indirectly, these staff will not be available when trying to assign the Clinical Director a Reporting Manager.
