ERA Preview- NEW!

ERA Preview was designed to help our customers better manage their payment postings.  This feature will give a clear idea as to which chargelines will post automatically and which will require manual attention.  Chargelines can be edited within ERA preview as well.

ERA Preview was released to our beta customers on 9/17/26 and is currently available only to customers participating in the beta program. It is not yet available to all customers. Customers will be notified once a general release date has been determined.

Setting up ERA Preview

Go to Settings > System Settings > Billing Settings and toggle New ERA Preview ON.


ERA Preview can be toggled OFF if you wish to return to your previous method of Payment Posting.

Posting Payments using ERA Preview

Go to Billing > Payment Center.  This will lead you to a familiar screen where you will see all unposted ERAs.  If you are lead straight to the Payments tab, there are no ERAs available for posting.


Double click on any ERA to post.  Instead of a the previous ERA document, you will be taken to a screen showing you exactly what will be posted.  

This example shows a payment that will post for all charges included.


At the top, you will see the total payment as well as the total amount that will be applied with this posting.  In this scenario, those two numbers match!  As with all payment posting, unapplied should read 0.00.

Before you begin:
  1. Anything in BLUE can be edited if you wish to change an amount or reason code (see  icon).
  2. The  icons can be used to add or remove lines from the charge.
  3. You can unselect any chargelines you do not want to post. 
  4. Like any report in Aloha, ERAs can be exported to Excel and the columns adjusted using these icons in the top right corner 
  5. In the bottom right corner, see the actions
    1. Post:  Selecting will post payments to the chargelines selected.
    2. View ERA:  Display an actual copy of the ERA to compare
    3. Download:  Download a copy of the original ERA
    4. Save:  Save any edits made for later without posting
    5. Discard:  Discard any edits made
Once you click post, the payment will apply to the selected chargelines and move from the ERA tab to the Payments tab.  Any unapplied amount will need to be posted manually.


Manual Adjustments

Let's take a look at an ERA that is not going to post perfectly.  In this example, the last chargeline has a indicating that the charge will not post.

Hovering over the denial (not pictured) the total amount of the denial ($566.00) is greater than the charge ($350.00).  It is advised to view the ERA to ensure all information came over correctly.  In this scenario, the denial on the ERA is actually $350.00.  

Back in ERA preview, use the  icon to adjust the denial and the chargeline will be available for posting!


Manual Chargeline Matching

Sometimes a chargeline cannot post because the system cannot find the corresponding chargeline in Aloha.  In this scenario, double-click on the chargeline.

A pop-up will appear.  Search for the correct client and DOS and you will find any corresponding chargelines.  Select the chargeline and click ASSIGN.  This will manually assign the correct chargeline so the ERA can post in full.


Adjusting Balances and Recoupments

When the total applied is less than the total payment, manual adjustments may need to be made. This will apply to scenarios like interest payments.

When the total applied will be greater than the total payment, the ERA cannot post.  Please manually uncheck chargelines until the total applied is less than or equal to the total payment.  The unchecked chargelines will need to be manually applied. This will apply to scenarios like origination fees or recoupments.

Common Errors

In this scenario, the chargelines was already posted from a different check.  It is recommended to go to Billing > AR Manager and review the transaction history (click on the ) of the claim.  It is possible the claim was paid twice or was accidentally posted from a previous check.
