Editing Submitted Lesson Notes

Options for Editing Lesson Notes

There are many instances in which a submitted Lesson Note may need to be edited:

- Start/End time needs to be adjusted
Adding/adjusting Skill or Behavior data
Correcting information entered in the note template (e.g. Adding another person who was present, removing subjective language from a session summary)
Adding information to Stand Alone notes (e.g. Place of Service Code)

Aloha Data Collection allows users to make these edits either on the Web or via the App. Below is a summary of what can be edited on each platform and how these edits can be made.

-            Start/End Time

-            Single-select list selections

-            Multi-select list selections

-            Text in any textbox custom field

-            Skill data (add, edit, remove)

-            Behavior data (add, edit, remove)

-            ABC Data

-            Dynamic Fields that have been pulled from a Staff/Client profile (e.g. staff credential, client DOB or from Aloha PMS Appointment (e.g. Place of Service Code)

-            Any part of the template body

-            Start/End time (if given access to do so)

-            Single-select list selections

-            Multi-select list selections

-            Text in any textbox custom field

-            Skill data (add, edit, remove)

-            Behavior data (add, edit, remove)

-            ABC Data

Can NOT be edited

-            Staff/Client associated with the Note

-            Date of the Note

-            Staff/Client associated with the Note

-            Date of the Note

-            Dynamic Fields that have been pulled from a Staff/Client profile (e.g. staff credential, client DOB or from Aloha PMS Appointment (e.g. Place of Service Code)

How

-            Make sure note is in “Pending” Status

-            Click Edit under the “Actions” column

-            Make desired edits

-            Click “send back” so staff can re-sign the note in their App to attest that the edits are accurate

-            If user has permission to edit pending notes, navigate to Lesson Notes from main navigation bar

-            Locate note to be edited

-            Click Edit icon

-            Make edits

-            Re-sign and submit the note

OR

-            Admin “Rejects” note via Web

 

-        Staff navigates to Lesson Notes from main navigation bar

 

-            Locate note to be corrected

 

-            Click Edit icon

 

-            Make corrections based on feedback

 

-            Re-sign and submit the note

Sometimes, Admins will need to make administrative adjustments to submitted Lesson Notes (e.g. fixing start/end times, adjusting appointment information or adding CPT codes). The below video offers guidance on editing submitted Lesson Notes on Welina Web:


After a Lesson Note has been edited on the Web, the staff who submitted the note will need to re-sign the note in their App. The below video offers guidance on how to re-sign an edited note:



Video: How to Reject Lesson Notes on the Web

Sometimes, a change needs to be made to a submitted Lesson Note, but an Admin would like the Staff who submitted this note to make this change. For example, requesting the staff to add more information to  a session summary, or to provide the staff with learning opportunities to correctly complete their Lesson Notes. After a Lesson Note has been Rejected on the Web, the staff who submitted the note will need to fix, re-sign, and re-submit the note in their App. The below video offers guidance on how to re-sign an edited note:
