Custom Data Fields Overview



What are Custom Data Fields


Custom fields allow users to create and collect exactly the information they want, giving more control and customization of their Aloha Data Collection platform.

In Aloha DC, Custom Fields can be created in the following areas:


Staff Profiles:
  1. Custom Fields in Staff Profiles allow users to collect demographic or identifying information about Staff within their Organization, in addition to the information provided by pre-existing profile fields. This information can be populated into Lesson Note Templates.
  2. Examples: Staff NPI. Staff Credential, etc.
Client Profiles:
  1. Custom Fields in Client Profiles allow users to collect demographic or identifying information about Clients within their Organization, in addition to the information provdeded by pre-existing profiles fields. This information can be populated into Lesson Note Templates
  2. Examples: Client ID, Client Medical Record Number, Teacher's Name, etc.
Lesson Note Templates
  1. Custom Fields in Lesson Note Templates allow users to document pertinent session information needed for insurance compliance 
  2. Examples: Interventions used, People present, Session Summary, Next Steps, etc
Program Managenebt
  1. Custom Fields can be added to Programs to allow users to document pertinent information about the program. In the future, this information can be pulled into a Treatment Report.
  2. Examples: Rationale, Date Initiated, etc



Info

When a custom data field is added to a Staff or Client profile it will also be accessible as a Dynamic Field for your lesson note template. If you would like to use a Custom Field from Staff/Client profiles as a dynamic field in a Lesson Note Template you must fill in the custom field added in the staff/client profiles in order for that information to correctly appear in the lesson note. If you leave the field blank on the staff/client profile it will remain blank on the lesson note.


 (Quick reminder that Dynamic fields are smart fields that pull relevant information at the time of lesson note execution).



Custom Field Data Types

There are three different types of custom data fields that can be added to either your lesson notes, client programs, staff profile, and/or client profiles: Text fields, Single-select fields, and Multi-select fields.

Below we will break down how each of those fields show up when used. 


Text 

Text Custom Fields will show up as a field in which you can free type information into a text box. Think open summary or descriptive information that might vary across users.

Idea
Text Custom Data Fields, as well as any other Custom Data Field, can be used more than once within a Lesson Note Template. For example, a general 'Text' field can be created for Lesson Notes, and then used three times to document a Session Summary, Barriers, and Next Steps.

Single-Select


Single-select custom fields will allow you to create a list of entries. Staff will be able to see the list and choose one option from that list. Think multiple choice but pick only one.

Multi-Select

Multi-Select custom fields will allow you to create a list of entries just like single select except staff can choose multiple options from that list. Think multiple choice, pick as many as are applicable.

How to Add Custom Fields in Lesson Note Templates

  1. To add a custom field navigate to Organization Setup > Custom Data Fields
  2. Click 
  3. Enter the field name that you want to display connected to the data type for your staff to see (e.g. "Interventions Used")
  4. Select the Data type you want to use (Text, Single-Select, or Multi-Select)

                  a.    If using one of the Single or Multi-select build your list (note: as the list grows you may need to scroll down on the list)

  1. Choose the Module you want the custom field to show up in (Client, Staff, Lesson Notes, or Program Management)
  2. Toggle the required column to "Yes" if you want the field required to completed before staff can save (fields are set to not required by default) 

7.       In your Lesson Note Template, click “Dynamic Fields” and then Staff, Client, or Custom Data to pull in any Custom Data Field

Custom Data: any custom data field created specifically for Lesson Note Templates will be available  under this drop-down


 

Alert
ALL custom fields added to Staff and Client profiles can be added to a Lesson Note Template. If you have specific information needed in a lesson note like a Staff NPI, or Client Medical ID you will need to create a custom field first. You will then go to the profile to fill in the information specific to each staff or client. When building out a Lesson Note Template you can then find your staff and client custom fields in the Dynamic field drop down at the bottom of the list.
