AlohaABA Terminology

This article contains a guide to understanding the common terminology used when talking about the AlohaABA platform.



This refers to your Practice Management system – the platform used for scheduling, billing, and managing payments.


This refers to your Data Collection System – the platform used for clinical program, data collection, lesson notes, and data analysis


May also be referred to as: Aloha, Aloha PMS, PM, PMS, Practice Management



May also be referred to as: Welina (in the platform’s web address), Welina Data Collection (the name of the App in the App store), DC, Data Collection




This specifically refers to the Web branch of the Aloha DC platform. This branch of the platform is an administrative tool specifically used for Organization Set Up, creating program templates, creating/modifying programs and targets, reviewing/auditing Lesson Notes, and analyzing client data. It can be accessed on a desktop or laptop, with the smoothest experience on a Google Chrome broswer.

This specifically refers to the App branch of the Aloha DC platform. This branch of the platform is an a tool designed for direct service delivery: running sessions, implementing programs, collecting skill and behavior data, and completing Lesson Notes.

In the App Store it will be called "Welina Data Collection"

Integrated User
Stand-Alone User
This refers to users who have connected their Aloha PM and Aloha DC platforms. This means that:

This means that:
  1. Staff profiles created in Aloha PM will appear in Aloha DC
  2. Client profiles created in Aloha PM will appear in Aloha DC
  3. Appointments created in Aloha PM will appear in Aloha DC
  4. Lesson Notes completed in Aloha DC will link to their associate appointment in Aloha PM
This refers to Aloha DC users who have not connected their Aloha DC to their Aloha PM platform, or are using a different practice management platform. 


This means that: 
  1. Staff profiles created in Aloha PM will NOT appear in Aloha Dc
  2. Client profiles created in Aloha PM will NOT appear in Aloha DC
  3. Appointments created in Aloha PM will NOT appear in Aloha DC
  4. Lesson Notes completed in Aloha Dc will NOT link to their associated appointment in Aloha PM

May also be referred to as: stand-alone profile, unsynched profile, unsycnhed user



Appointment
Lesson Note

This refers to a service session (e.g. Direct Service, Supervision, Assessment, Family Guidance, etc.) that has been scheduled between a staff and client in Aloha PM. Clients need an active authorization entered in Aloha PM in order to have an appointment scheduled.

Appointments are scheduled in Aloha PM.


This refers to the note documenting a service session with a client. Lesson Notes should be linked to the Aloha PM appointment that they document so that they can be easily accessed in the case of an audit.

Lesson Notes are completed in Aloha DC
May also be referred to as: session, service session
May also be referred to as: session note, service note, SOAP note

Integrated Session
Stand-Alone Session

This refers to an Aloha DC session that is linked from its start to an appointment that has been created in Aloha PM

This means that:

  1. The Session was started in the App using the Schedule icon
  2. If Appointment Data (e.g. POS code, CPT code, etc.) is part of the Lesson Note templates used, then information from the Aloha appointment will auto-populate into the Lesson note for this session 
  3. The Lesson Note and Appointment will already by linked - no further action needed!

This refers to a session that is not associated with an appointment in Aloha PM at the time it is being run.

This means that:
  1. After the session is completed, the Lesson Note should be retroactively linked to Aloha PM appointment
  2. If Appointment Data (e.g. POS code, CPT code, etc.) is part of the Lesson Note template used. then information from the Aloha PM Appointment will not auto-populate into the Lesson Note for this session, and should be added in retroactively.

Program 
Target

This refers to the larger skill/goal that you are teaching to the client.

 

Examples:

Tacting Colors

Peer Interaction

This refers to the smaller and more specific components of a goal you are teaching the client. Generally, the target is the response you would like to see.

 

Examples:

Tacting Colors program will have the targets: Red, Blue, Green, etc

 

Peer Interaction program will have the targets: Say Hi. Say Bye, Ask Question, Respond to Question, etc
